The Administrative Assistant will provide administrative support functions in collaboration with our Office Manager, Operations and Human Resources team.
This position requires the individual to perform effectively in a fast-paced environment while managing and prioritizing duties and ensuring accuracy while completed within expected timelines.
Specific Accountabilities:
- Support Operations, Finance, and HR
- Monitor office supplies and inventory including replenish as required
- Register students into public training courses by telephone, email and in-person
- Training certificate administration for classroom and on-site training courses
- Assist with weekly and monthly LEM reporting
- Coordination and management of travel and accommodations for traveling team members
- Screening of job applications
- Phone interview / screen to ensure candidates meet minimum requirements
- Schedule and facilitate zoom interviews
- Book pre-employment testing such as Drug & Alcohol Screening and Mask Fit Testing
- Ensure new on-boarding team members complete site specific training, pre-screening and orientation
- Schedule Haztech operating systems orientation with all new staff
- Assist with managing valid licensure of medical and security personnel
- Manage personnel training records
- Further administrative support duties as required
Qualifications:
- Competency with office management procedures and basic accounting principles
- Knowledge of generally accepted and internal control principles
- Experience with Sage 300 and Microsoft Office is preferred
- Valid driver’s license
